Kazeon Assessment Services

File data often represents the majority of data stored online and in many organizations is growing at an alarming rate. This information is typically very hard to manage as IT organizations have little visibility into what type of information is being stored and how storage is being used.

Without an understanding of the existing environment, IT administrators cannot determine how to best take advantage of new technologies and know if storage resources are being utilized efficiently. They cannot track trends for better planning, review utilization by department, and initiate chargeback to different lines of business. Security officers may also be concerned at the lack of visibility of data stored in network filesystems. The risks of intellectual property theft or disclosure of Non Public Information can not be managed effectively without insight into and control over the content that is stored on the network.

To address these issues Kazeon offers two types of assessment services – a sensitive data assessment service aimed at identifying non public information and a data assessment service aimed at providing an insight into data usage, quality and value. In each case the service includes delivery, installation and configuration, the rental of the system through the service and the delivery of a professionally presented report. The sensitive data assessment also includes the reports contained in the data assessment service.

Sensitive Data Assessment Service

To manage risk effectively potential risks must be identified and plans put in place to address them. Unfortunately this is extremely difficult to accomplish where there are a high number of assets that may pose a risk and where the resources available to investigate them are limited.

This is very much the case with the information stored in filesystems today, which may contain tens or hundreds of millions of files. As just about every business comes into regular contact with and stores sensitive information about the clients they service the chances of inadvertently storing store credit card and social security numbers and other non-public information are very high. Whilst sensitive or confidential information is usually stored securely at the time of creation it is often later extracted and stored in other, often unsecured areas, including network shares and unprotected servers. This results in the inadvertent exposure of confidential customer information and presents a real risk for unintentional leakage and outright theft. The availability of large capacity USB thumb drives and other portable media means that the risks of significant volumes of confidential customer data being passed to third parties is now greater than ever.

This Kazeon service offering provides a first step in securing non-public personal information (NPI) by identifying files on network attached storage containing non-public and personal information.

The Kazeon Sensitive Data Assessment Service is a two-week service during which Kazeon consultants will utilize the IS1200-ECS to index and search up to 5 terabytes of information for social security numbers, credit card numbers and client account numbers. The system identifies non-public personal information and Kazeon consultants then provide reports that alert client companies to any potential security risks.

The report provides the following information:
  • List of file systems crawled
  • Total number of bytes and files crawled
  • Total number of files suspected of containing social security numbers
  • Total number of files suspected of containing credit card numbers
  • Total number of files suspected of containing client account numbers.

    Each list of files suspected of containing social security numbers, credit card numbers or client account numbers will be detailed with the file name, path, extension, type and size. The Owner ID from file attributes and the creation, last modified and last accessed date will also be provided.

    Data Assessment Service

    The Kazeon Data Assessment Service provides powerful insight into data usage and value through the delivery of a standard set of reports across a representative 4 Terabyte "slice" of your storage environment. This non-disruptive approach includes the delivery and rental of the Kazeon Information Server, configuration and set up, data collection, and the delivery of a detailed final report.

    IT can quickly understand how their storage is being utilized through Kazeon's automated data gathering and reporting so that storage environments can be better managed. The Kazeon Information Server is content-aware which ensures that a true picture of file types based on content located within the files themselves (not simply file extensions), are reported. This technology also computes a unique hash value for each file so that you gain visibility into which files are duplicates.

    The set of included reports also provides baseline knowledge to help IT track trends for better planning and initiate reporting and chargeback to individual departments.

    Kazeon’s own findings based on the results of the Data Assessment Service show that on average, half of all unmanaged data is stale and only one quarter of data is actually current and relevant to the organization's business. In addition, an average of 18 percent of all stored data was deemed to be duplicate information and an average 4 percent of stored data was found to be completely unrelated to business.. These findings came from a compilation of assessments from businesses across five countries and in eight different vertical industries including financial services, manufacturing, pharmaceuticals and energy.

    The Kazeon Data Assessment Service is a one-week service during which Kazeon consultants will utilize the IS1200-FRM to automatically gather information within a customer's environment. Kazeon consultants then embed reports into a final document that alert companies to various factors such as file duplication, frequency of access and frequency of updates to files.
